Personal Assistant to Chief Operating Officer (COO)

We have an exciting opportunity to join our West Midland’s based client in a key role supporting the COO as his Personal Assistant.  You will be triaging emails, arranging meetings, managing a complex diary and an expert in ‘gatekeeping’.  This all-encompassing role will stretch and test your skills to the max in a fun and friendly team.

You will have supported at Director and Board level within your previous position and understand the challenges of delivering support in this role and be enthused by the pace of the working environment and the variety the role offers.

As Personal Assistant you will be:

  • Attending and minuting regular leadership meetings, directors’ meetings, and full Board meetings.
  • Ensuring efficient use of the COO’s time through pro-active diary management, in box management, and oversight of specific projects.
  • Producing complex and confidential documentation paying close attention to detail.
  • Planning and coordinating board and director meetings, department meetings – complex minutes, producing agendas and holding the attendees to account to deliver on promised tasks ahead of schedule.

You will have first class organisation and planning skills, be able to multitask and “plate spin” whilst remaining calm and professional.  There is also room for innovation and creativity within the role should you identify areas and system that could be improved.

You must demonstrate you are solution focused, positive and able to communicate and build effective working relationships both internally and externally.  You will have access to sensitive and confidential information so must possess high levels of diplomacy and emotional intelligence.  You are PA, diplomat, safe space, confidante, ally.

You must be able to respond to the ever-changing demands of the business   Working hours are 0830 – 1700 with the need to be flexible around these if necessary.

You will be joining a purposeful and expert team you will, of course, be fully supported as you transition into your new role.
